Payment FAQ's
This FAQ applies to all Wildfish Swim school lessons and lessons at Abbot’s Hill School which operates under Watford Swim School. For payment details about Stud Green (Watford Swim School) please CLICK HERE
How are payments taken?
Payments are taken on the 1st of each month using the card details you load onto the system. The amount you pay will alter each month according to the number of lessons taking place.
How much do I pay up front?
Your first payment will include the lessons taking place for your first month (pro rata) as well as a 4 week notice payment.
Can I change the day the payment is made?
No sorry, all invoices are set to be paid on the 1st of the month, regardless of which day of the week this falls.
Is it a direct debit?
No, payments are not taken by direct debit, it’s a card payment using the details you load into the Member Portal. These are kept secure on the system and can be amended/updated via the Member Portal.
What is the Notice Payment and how does it work?
If you would like to stop your lessons you need to let us know before the end of the month to stop the next payment being taken on the 1st. Your notice payment is then applied to cover the proceeding 4 lessons.
When do I need to pay?
When booking with us you will need to make payment prior to the lesson taking place, to secure your space.
After that, 7 days before the end of the month each swimmer will receive an email payment invoice. On the first of every month, payment will be taken from the card details held on the Swimphony system . If payment is late or bounces there will be a £5 late fee.
Will I be tied to a contract?
No, you can cancel at any time, once you do so, we won’t take any further card payments from you. We will then apply the 4 week notice payment that you paid when you joined, this period of time will be your notice period.
Do I need to book each month/term?
No, although the payments are taken monthly, your booking is continuous so you will remain in the class until your child is ready to move up.
How do I cancel?
All cancellations must be made via email to info@wildfishswimschool.com or send a message via the member hub area which you will have access to once you’ve completed your booking. Please wait for an acknowledgement from us to confirm the cancellation has been actioned. We recommend you also removing your card details from the system so that you have peace of mind that no further payments will be taken.
We have a 7 day cooling off period, so if you cancel within 7 days of booking, we’ll refund 100% of your payment provided this is more than 7 days before the start of the course/first lesson.
Beyond the 7 days of your payment, you may cancel at any time. No further payments will be processed against your card (no credits or refunds will be given for any reason). Your notice payment will then be applied instead of your next/final payment due and will cover the proceeding 4 lessons. Please note, if your notice period falls over a school holiday, your 4 lessons may not be concurrent.
What happens to my payments on bank holidays and when lessons aren’t running?
You are only charged for lessons that are due to take place and your invoice will reflect this.
What happens if I don’t pay my card payment and the payment defaults?
In the unfortunate event that your card payment fails, we will attempt to contact you to take payment or ask you to make another payment in the member hub area. If the account is not brought back up to date within this period, then we will class this as non-payment. This will result in you being removed from the programme. To avoid confusion and disappointment, please make sure payment is made as soon as possible, as we will not be able to teach anyone that is no longer on the register.
What if the swim school needs to cancel a lesson and I am due a refund?
If lessons have to be cancelled due to a technical issue with the swimming pool or any other reason, a credit is applied to your account and will be deducted from the next invoice.
What happens if a lesson is cancelled during my notice period?
In the unlikely event of this occurring, we can extend your notice period if the space is available or offer you a refund.
What happens if I cannot attend a lesson?
Unfortunately, we cannot refund or credit lessons if you are unable to attend for any reason. Your space is kept secured for you if you are able to attend or not.
My chid has an injury or operation meaning we are unable to swim for a period of time, can we pause our lessons?
We can of course, remove you from lessons so that you are not paying for lessons when you know you cannot attend but this does mean giving up your space. By keeping any credit on hold, you would have priority to return to lessons when you are able to re-join but we cannot guarantee the same spot will be available. If you choose to continue paying for your space whilst you cannot attend, this will be kept secure for you.
